Asia Marketing Administrator

Job opportunity:

Bord Bia, the Irish Food Board is recruiting Asia Marketing Admini-strator based in the Shanghai Office in China.

Purpose

In this role, you will deliver on organisation priorities through providing corporate administration support and event organisation support to local and wider overseas office’s marketing and insights teams.

What you’ll do

1.Support GBD market managers in the administration of office budgets, liaising with service and goods suppliers, managing internal systems effectively, inputting invoices, creating reports and forecasting, with particular focus on China, Singapore, and Japan markets.

2.Maintain records of contracts in the region, manage renewal dates and re-tendering process; and ensure price negotiations with local vendors, service providers and office landlords.

3.As directed, book meeting rooms, meals, transport & accommodation for major global trade fairs, events, team meetings or trainings. Assist with visa applications where necessary.

4.Support regional managers with internal reporting. This includes coordinating and editing contributions from offices within Asia for senior management and board reports and assisting with data input into Salesforce to capture regular customer meetings, trade shows, and other activity participants.

 

5.As part of a team, organise marketing events, trade missions, and other customer, client or media itineraries relevant to Asia.

6.Manage office facilities and equipment in collaboration with head office Corporate Services and IT teams.

7.Assist in the onboarding process for new hires and talent academy placements in the region.

 

What you’ll achieve

1.To ensure bills are paid correctly, efficiently and on time.

2.To adhere to all Bord Bia public procurement guidelines and ensure value for money on all projects.

3.To streamline supports for staff and stakeholder travel to and from Asia.

4.To ensure reporting efficiencies across the Global Business Development team. 

5.To create more and better platforms for business opportunities and growth for Irish food, drink and horticulture companies. 

6.To ensure all IT and office equipment is up to date and compliant with relevant central policies.

7.To ensure new hires are integrated  seamlessly into new overseas offices and that they adhere to procurement procedures across supported offices.


Essential Knowledge / Skills / Capabilities

 

Knowledge

-5+ years’ office administration experience.

-Administering of office support systems, reception and facilities.

-Experience and proven track record of budget management and reconciliation.

-Public procurement experience.

 

-Customer service experience.

Skills & Capabilities

-Fluent written and spoken English and Mandarin Chinese.

-Budget management and office administration systems, purchase order systems.

-A digital mindset.

-Expert at Microsoft Word; Excel; PowerPoint.

-Project management experience incl. planning, measuring and reviewing KPI’s.

-Attention to detail and excellent project management skills.

-Thrives in a multitasking & multicultural environment.

 

Desirable Knowledge / Skills / Capabilities

 

Knowledge

-Event management experience an advantage.

-Experience & knowledge of the Food and Drin industry an advantage.

Skills & Capabilities

-Degree level qualification in business administration or marketing, ideally including modules like accounting, office administration, event management.

-Familiarity with using Salesforce (or equivalent CRM), cloud data storage (such as Sharepoint/OneDrive), and video conferencing systems.

-Experience supporting teams in multiple locations
